The Spanish version prevails.

This policy explains how IntellCore Institute handles the personal data you send through this website, in particular through the Request price form and the enrollment process.

1. Controller

Controller: IntellCore.ai, SL (brand IntellCore Institute).

Contact for any privacy matter: privacidad@intellcore.ai.

2. Data we collect

  • · Request price form: first name, last name, email, phone and the program you ask about.
  • · Consent record: the boxes you tick, the date and time, and the IP address from which the form was sent.
  • · Enrollment (only if you enroll): name, surname, email, phone, country, optional date of birth, billing details and payment method.
  • · Campus account: the data you add to your institute file after enrolling.
  • · Campus activity: progress, practical submissions, examination results and certificates.
  • · Conversations with the automated tutor and assistant; Speaking Room voice recordings, where used.
  • · Legal acceptance record: document version, date, IP address and browser user agent.
  • · Optional website statistics: pseudonymous visit identifier, referral source, pages, device category and country, only after acceptance.

3. Purposes

  • · Handle your price request and contact you about the program you selected.
  • · Manage your enrollment, create your institute account and give you access to the program.
  • · Deliver the programme, assess learning and issue certificates; provide the automated tutor and assistant.
  • · Produce anonymous aggregated internal website-use statistics from consented visit data.
  • · Send occasional news from IntellCore Institute, only if you ticked the optional box.

4. Legal basis

  • · Steps prior to entering into a contract at your request — Article 6.1.b GDPR (price request and enrollment).
  • · Performance of the contract — Article 6.1.b GDPR (access to the program once enrolled).
  • · Your consent — Article 6.1.a GDPR (optional news and website statistics). You can withdraw it at any time.
  • · Compliance with legal obligations — Article 6.1.c GDPR (billing and tax records, when applicable).

5. Processors

The services used to process personal data are listed below. The underlying delivery provider of managed email and the AI gateway subprocessor terms are governed by the relevant service agreements. The website also loads Google Fonts, which receives network connection information (such as your IP); it is not a newsletter or analytics processor.

  • · Cloud hosting and database provider — hosting, database, private storage and user authentication.
  • · Managed transactional email provider — authentication and admissions email delivery.
  • · Brevo (Sendinblue SAS, EU) — Radar subscriptions, contact synchronisation and newsletter confirmation/delivery.
  • · Microsoft 365 (Microsoft) — correspondence at info@intellcore.ai and admissions@intellcore.ai.
  • · AI service gateway provider — automated tutor, assistant and speaking processing; configured Google Gemini and OpenAI models, including voice transcription, are accessed through this gateway rather than direct provider integrations.

6. International transfers

Some of these providers may process data outside the European Economic Area. Where this happens, transfers rely on an adequacy decision or on the European Commission's Standard Contractual Clauses.

7. Retention

  • · Price requests that do not lead to an enrollment: up to 12 months from the last contact.
  • · Enrollment and academic records: for the duration of the program and afterwards for the periods required by law.
  • · Optional news: until you withdraw your consent.
  • · Consent records: for as long as needed to prove the consent was given.

8. Your rights

You can request access, rectification, erasure, objection, restriction of processing and data portability, and withdraw your consent at any time, by writing to privacidad@intellcore.ai.

If you believe your rights have not been respected, you can lodge a complaint with the Spanish Data Protection Agency (AEPD), www.aepd.es.

Optional academic and professional profile

These details are optional and do not affect access to Campus or the programme. They are used to understand student profiles and improve programmes. The legal basis is your consent when filling them in. You can withdraw consent and delete these details from My profile at any time.

Identity document

It is used only to verify your identity and issue the certificate. Front and back images are deleted at certificate issuance or, if you do not complete the programme, 30 days after access closes. We retain the number, country, confirmed name and record of who verified the document and when.

Automated decisions

Multiple-choice examination grading and weekly module unlocking are automated and may affect obtaining a certificate. You may request human review, express your point of view and contest a decision by writing to privacidad@intellcore.ai.

Recipients

Data is disclosed to authorities where required by law. Certificates are issued by the Institute itself without transferring data to third parties for issuance. The listed processors provide services on the Institute’s behalf.

Accuracy, third parties and minors

You must supply accurate data and keep it up to date. If you provide another person’s data, you must have informed them about the processing and have a lawful basis to supply it. Services are intended for adults over 18.

Restricted retention after the purpose ends

Once the purpose ends, data is blocked for the limitation periods of potential liabilities, available only to competent authorities where applicable, and then erased. This does not extend retention of identity-document images beyond the specific periods stated.

IntellCore AI Institute mobile app (Android and iOS)

  • · Requests sent from the app (scholarship, place, advisor or brochure): name, email, phone/WhatsApp, country and programme. Used to handle your request and so an admissions advisor can contact you.
  • · Student sign-in: the email and password of your Campus account (accounts are created when you enrol; the app does not let you create accounts).
  • · Campus activity: completed lessons and progress, and the questions you ask the AI tutor.
  • · Notifications: a device push-notification identifier, only if you allow notifications. You can turn them off in your phone settings.
  • · Fingerprint or Face ID unlock: verified on your device; we never receive biometric data.
  • · The app shows no ads, does not use the advertising ID, and does not sell data or share it with third parties for their own purposes. Data travels encrypted (HTTPS) and is handled by the processors listed in this policy.
  • · The app does not process payments: enrolments are handled outside the app, on intellcore.ai or with your advisor.

Deleting your account and data

You can ask us to delete your account and data at any time from the app (Profile → Request account deletion) or by writing to privacidad@intellcore.ai. The steps, what is deleted and what is kept are explained at https://intellcore.ai/delete-data.
